Summary: This leadership position is responsible for the medical-administrative and medico-legal aspects of the Medical Staff Services and Medical Library Departments. The incumbent serves as an essential link between senior management and the Medical and Allied Health Professional Staff to promote and enhance good communication. The incumbent is responsible for the development and promotion of recruitment/retention strategies for the medical staff in an effort to increase utilization of services and expand the market share of the Hospital. This position is responsible for promoting to the medical staff new technology and services available within the Hospital. The incumbent is responsible for establishing, contributing to and maintaining continuity in the planning, development and implementation of standards applicable to the medical staff and allied health professional staff members relating to membership and clinical privileges, quality and administrative functions. Oversees and facilitates an independently accredited physician Continuing Medical Education (CME). The weekly CME program is accredited through the Ohio State Medical Association. The position is responsible for facility-wide preparation, organization and follow-up involved in maintaining and supporting hospital JCAHO accreditation and licensure with all accrediting bodies and the mission of the Hospital as each relates to the medical and allied health professional staff. The incumbent serves as liaison and resource between the Hospital, medical and allied health professional staff and the outside community to improve and strengthen physician relationships. Scope of supervision includes: Medical Staff Services and Medical Library Department personnel and volunteers, Medical Staff Leaders and Medical and Allied Health Professional Staff for credentialing. Prepares, administers and monitors capital and operating budget for Medical Staff Services and Medical Library Department. Monitors staff levels to maintain productivity standards. Assists medical staff leaders in administration of medical staff financial account(s).

Job Responsibilities: Planning and Organizing: Plans and organizes all activities under this positions control in an effective manner. Organizes and delegates work in an effective manner and provides necessary leadership to ensure effective work results. As member of Hospital Administrative Council, responsible for participating in the development and implementation of the Hospital’s Strategic Plan. Prepares, monitors and proposes departmental capital and operating budget expenses. Physician Relations: Works to maintain a high level of physician satisfaction with the Hospital and responds to all concerns identified as barriers to physician satisfaction. Serves as a resource for physicians and their offices with regard to the services of the Hospital. Serves as liaison to assure maintenance and enhancement of effective relationships between the medical staff, medical staff and their office practices, administration and ancillary departments. Plans and organizes activities focused on recruitment and retention of the medical staff to include but not limited to office site visits. Responsible for implementation of the Medical Staff Development Plan. Implements and maintains physicians orientation program for all physicians on the medical staff. Collaborates with Marketing for effective and appropriate marketing of the medical staff. Credentialing and Regulation: Administers the credentialing process for new applicants, initial appointments, provisional reviews and reappointments. Analyzes and formulates medical staff bylaws for consideration by Bylaws Committee, Medical Executive Committee, general medical staff and governing body. Directs activities and processes within the medical staff services department to assure compliance with accreditation and regulatory agencies. Oversees computerized database of physician files for continuous credentialing purposes and statistical data in response internal and external requests. Coordinates and monitors accreditation survey process as it relates to the medical staff services department. Facilitates meeting and program coordinator for the Hospital Institutional Review Board (IRB). Assist IRB Chair with government regulations and compliance. Acts as liaison with investigators to comply with IRB requests for application submission, renewals and reports. Meeting Management: Directs management of medical staff department and committee meetings including staffing, notice, agenda preparation, meeting documentation, execution of recommendations and follow-up. Educates, provides expertise and acts as resource to the medical staff leadership with regard to their overall responsibilities including, but not limited to, medical staff bylaws; accreditation standards; peer review activities; and, medical-legal issues. Acts as resource to hospital leadership with regard to medical-legal, accreditation, credentialing and other issues as they relate to the medical staff and medical staff services department. Provides orientation to new and/or prospective medical staff members to appropriate hospital protocols, policies and procedures. Directs processes for continuing medical education (CME) programs sponsored by the medicals staff. Other duties as assigned.

Education: The following knowledge, skills and abilities are required: knowledge of medico-legal issues and law, regulatory agency requirements and standards; strong interpersonal, management, organizational and motivational skills; results oriented; independent problem solving, conflict resolution and decision making abilities; flexibility, perseverance and fortitude; comprehensive expertise and knowledge in the arena of medical staff leadership; excellent written/verbal communication skills; ability to initiate and maintain collaborative and cooperative interdisciplinary relationships; knowledge of computers, database management, information retrieval and report formatting.

Experience: At least five (5) years of diversified hospital, healthcare and medical staff services experience with supervisory experience required.

Licensure/Certification/Registration: This position requires NAMSS certification or Bachelor’s degree and/or comparable experience.

Physical Requirements: Sitting, standing, walking, bending and stretching; talking and hearing are essential requirements to meet the necessity of communicating with physicians, office staff, employees and visitor/sales representatives.
